AI workflow and document automation for operations teams

We provide AI automation services for operations teams that still move data between tools by hand. We automate invoices, orders, claims and lead routing end to end, with a model reading the documents and a person approving the exceptions.

The problem

Your team is still the integration layer between five tools

Every operations team has the same invisible work: an invoice arrives as a PDF and someone retypes it into the ERP, an order is copied from email into a spreadsheet, a lead is pasted from a form into the CRM and then pinged to sales on Slack. Each task is small, and together they consume a large share of the week. They also break quietly: a field is mistyped, a step is skipped, and nobody notices until month-end. We map those flows, automate the ones with a clear rule or a readable document, and leave a person in charge of every exception. You get workflows that run unattended, fail loudly and are documented well enough for your own team to maintain.

Outcomes
One workflow
scoped, priced and delivered per milestone, so you see it working before you commit to the next
Human in the loop
low-confidence documents and edge cases go to an approval queue, never straight to production
100%
of workflows, prompts and documentation in your accounts and repositories from day one
What we deliver
  • 01Process map of the current workflow with volumes, owners and failure points
  • 02Workflow built in n8n, Make or custom code, whichever fits your volume and data sensitivity
  • 03Document extraction for invoices, purchase orders, claims or contracts, with confidence thresholds and an approval queue
  • 04Integrations with your ERP, CRM, helpdesk, inbox and spreadsheets, such as NetSuite, QuickBooks, Odoo, HubSpot and Salesforce
  • 05Error handling with retries, alerts and a log of every run, so failures are visible the same day
  • 06Runbook and handover session so your team can operate and change the workflow
What is included and what is not

Included

  • Process map, volumes and failure points for the workflow we automate
  • The workflow itself in n8n, Make or custom code, tested on a sample of your real documents
  • Retries, alerts and a log of every run, plus an approval queue for low-confidence cases
  • A runbook and a handover session so your team can operate and change it
  • 30 days of launch support

Not included

  • Model and automation-platform usage, which you pay directly to the provider and which we estimate per workflow
  • Licenses for the tools the workflow connects to
  • Changes to the process itself; we automate the process you run, and we flag where it should change
  • Ongoing maintenance after the support period, unless you agree a separate arrangement
Typical scenarios
  • Invoice intake into the ERP

Supplier invoices arrive as PDFs in a shared inbox and are retyped into the ERP. The workflow extracts the fields, matches them against purchase orders, posts clean records and sends anything below the confidence threshold to an approval queue.

  • Order handoff from email to fulfillment

Customers email orders in different formats, and someone copies them into a spreadsheet and then into the order system. The workflow reads each message, validates it against your catalog and creates the order, flagging unknown items for a person.

  • Lead routing and follow-up

Leads come from forms, events and referrals, and routing depends on who remembers to check. The workflow enriches each lead, applies your assignment rules, creates the CRM record and notifies the owner, with a log of every decision.

Method
  1. 01

    Process diagnosis

A working session with the people who do the work today. We map the steps, count the volume, find where errors happen and rank candidates by hours saved against effort. We start with the workflow that is frequent, rule-based and painful.

  2. 02

    Design the decision points

We define triggers, the data each step needs, which steps use a model and which use plain rules, and what happens on failure. For document workflows we agree on a confidence threshold below which a person reviews the result.

  3. 03

Build and test on real data

We implement the workflow in a staging environment connected to sandbox accounts, then replay a sample of your real documents and records. We measure accuracy against the answers your team would have given, and we tune until the results are acceptable to the people who own the process.

  4. 04

    Launch and hand over

We switch the workflow on, often in parallel with the manual process for the first cycle, and train your team on the approval queue and the alerts. The runbook, credentials and source stay with you.
